Executive Assistant (Ref:19302)

Kowloon (Tsim Sha Tsui)

You will be responsible for:

  • maintaining the Chief Financial Officer (CFO)’s schedule for various Committees/Taskforces and subsidiaries Board meetings and coordinate the communications with Finance Services Division and other departments;
  • preparing documentation for various board and committee/taskforce meetings including agenda, meeting papers, chairman’s brief, reports and leading the logistical arrangement and related secretariat duties independently;
  • arranging meetings, preparing meeting materials and powerpoint slides for committee meetings; and taking meeting minutes;
  • assisting the CFO to ensure efficient daily operation of the division including co-ordination with department heads for CFO to present financial, IT and Development reports for management information and timely preparation and processing of division/department expenses and invoices, in compliance with the Authority’s internal policies and procedures;
  • arranging division/department meetings on a regular basis and assist the CFO for administrative and logistic support;
  • coordinating with department’s General Managers and team heads for submission of regular monthly management reports;
  • overseeing and coordinating division’s monthly expenditure budget and forecast; and
  • performing any other duties as assigned by the Authority.


You should:

  • possess a recognised university degree or equivalent, preferably in business administration, secretarial studies or other related discipline;
  • have at least 8 years of relevant experience in sizable organizations;
  • be a good and mature team player and possess strong organization, presentation, interpersonal and communication skills;
  • have sensitivity to confidential matters and numbers;
  • be able to work independently and cooperatively with colleagues at all levels and in different disciplines;
  • possess a high level of proficiency in computer applications; and
  • be proficient in oral and written communication skills in English and Chinese.
