Administration Officer (Ref:19288)

Reporting to the Head, Development, this is an important and dynamic role for an exceptional individual in the Museum Development and Membership team to maintain a smooth operation as well as stakeholder relationships focusing on memberships and sponsorships for M+ Museum.


You will be responsible for:

  • supporting the Head of Development to ensure smooth running of all business operations within Museum Development team;
  • providing a wide-range of administrative support to the Head, Development in a timely manner, such as consolidating records, financial reports and documentation, arranging travelling and meetings, preparing draft papers for management, project memos, and presentation materials;
  • coordinating with external and internal parties, stakeholders, clients and prospects when necessary;
  • providing support in financial and procurement exercises and ensuring all other accounting related matters are in compliance with the authority-wide policies;
  • active involvement in organisation of different types of events;
  • consolidating and monitoring the overall departmental financing situation by maintaining the internal record including budget, forecast and expenditure, and explaining the variance in a monthly report, as well as preparing reports for audit checking;
  • assisting in developing sponsorship proposals, presentation materials, membership products or any other relevant materials when required, and working with relevant teams to ensure information correctness and brand alignment;
  • supporting the overall project implementation and operations, logistics coordination and quality control; and
  • performing any other ad hoc tasks as assigned by the supervisor when required.


You should:

  • possess a recognised university degree or equivalent, preferably in Business Administration, Commerce or other relevant disciplines;
  • have minimum 3 years of relevant working experience, preferably in a commercial capacity in a sizable organisation;
  • have good project coordination and administrative skills with experience in handling budgets;
  • possess experience in handling procurement administration;
  • have strong administrative skills with meticulous attention to details;
  • be highly organised, reliable, resourceful, self-motivated and able to multitask and work independently with strong problem-solving skills;
  • be a fast learner with good working attitude and be able to work cooperatively with others;
  • be computer literate with experience in Word, Excel, PowerPoint, Outlook, with CRM and other computer skills considered an advantage;
  • be sensitive with numbers and possess experience in compiling different type of management reports;
  • have sensitivity to confidential matters; and
  • be proficient in oral and written communication skills in English and Chinese.
