Working as part of the Collections Database team, you will be responsible for developing and maintaining documentation and supporting an ongoing training program in a continuously growing organisation. You will play an important role in the development and application of data standards in all areas of the Collections database (TMS). You will assist to identify, develop, and document TMS related workflows and procedures as well as identify new areas of data development and enhancement. You will be responsible for monitoring and enforcing data standards to ensure that data entry meets the museum’s standards.


You will be responsible for:

  • developing and maintaining system (TMS) documentation including but not limited to documentation standards manuals, data content standards (i.e. cataloguing rules), data entry guides, procedures and workflows;
  • facilitating the development and delivery of ongoing training initiatives, both introductory and advanced, for existing and new users of the system;
  • developing and delivering TMS training resources including but not limited to video training series, training modules for particular users’ groups (such as Curatorial and Conservation), practice exercises, refresher training and periodic evaluations;
  • contributing to the ongoing development of a data monitoring programme and supporting Collections Database Manager on the planning and implementation of new data standards; and
  • supporting the development and maintenance of the TMS Support SharePoint site.


You should:

  • possess a recognised university degree, preferably in Museum Studies, Information Management, Library Sciences, or equivalent;
  • have 3-5 years of experience in collections management with practical experience in administering a database application in the Museum or Library and Archive sector, preferably TMS;
  • have proven experience on managing projects from inception to completion;
  • demonstrate excellent knowledge of Collections Management practices, preferably in a museum setting;
  • showcase experience and skills in technical writing and documentation in relation with information management;
  • have proven experience on providing training to groups and individuals as well as encouraging and advocating use of a database system;
  • be organised, detail-oriented, and self-motivated with ability in supervising others; and
  • have excellent communication skills with the ability to support both technical and non-technical database users in English and Chinese.
