Administration Officer (Ref:19136)

Kowloon (WKCDA Project Site Office)

You will be responsible for:

  • providing secretarial support to the General Manager, District Facility Services; including but not limited to organise & schedule appointments, take detailed minutes etc;
  • providing a wide range of administrative support to District Facility Services department, including but not limited to develop & maintain a filing system, office relocation, workstation for new hires, stationery ordering, process of claim expenses etc;
  • ensuring smooth operation of the department and managing daily workflows in a timely manner;
  • cooperating with internal departments for administration work and company events;
  • assisting in the preparation of reports for the department including financial reports, budget proposals, departmental procurement / payment administration as well as auditing checking;
  • ensuring timely preparation and processing of expense reports and invoices, and reviewing expenses submitted against company policies; and
  • assisting in preparation of meeting materials and presentations as and when required.


You should:

  • possess a recognised university degree or equivalent;
  • have around 5 years of secretarial and administrative experience, preferably in sizable organisations;
  • have knowledge in site co-ordination and vendor management;
  • be well organised with meticulous attention to details;
  • proficiency in Microsoft Office, especially in Microsoft Excel and Microsoft SharePoint;
  • have high proficiency in computer applications; and
  • be proficient in written and spoken English and Chinese.
